Supporting Microsoft 365 Services

QNS also provides the services that keep a district’s Microsoft environment organized, protected, and affordable over time. Our supporting Microsoft 365 services for K-12 education include the following...

Intune Device Management

Enrollment, configuration, and app deployment for Windows devices and iPads through Microsoft Intune, so staff and student devices are ready for class and protected if they are lost or stolen.

Storage Management

Microsoft 365 education tenants now share a pooled storage limit, starting at 100 TB with more added for each paid A3 or A5 license. We help districts monitor usage, clean up inactive accounts and mailboxes, and set storage policies before limits become a problem.

Backup and Recovery

Third-party backup for Exchange, OneDrive, SharePoint, and Teams, so deleted files and compromised accounts can be restored. Microsoft's built-in retention is not the same as a backup, and districts are often surprised by the difference.

Rostering and Integrations

Account provisioning and syncing between Microsoft 365, your student information system, and classroom apps through School Data Sync and similar tools, so new students and staff have working accounts on day one.

Microsoft 365 for Education Support for K-12 School Districts

Setup, Management, Security, and Training for Your District's Microsoft Environment

Choosing the Right Microsoft 365 Education Licenses

Microsoft offers three main education plans: A1, available at no cost for qualifying institutions, and the paid A3 and A5 plans. The paid plans add desktop Office apps, stronger security and device management, and more pooled storage for every license.

Many districts pay for more than they use, or run on A1 while missing security features a paid plan would provide. QNS reviews how your district actually uses Microsoft 365 and recommends the license mix that fits each group of staff and students, so your budget goes to features they will use.

What Is Microsoft 365 for Education Support from QNS?

QNS helps K-12 districts set up, manage, and secure Microsoft 365 for Education, from Exchange Online and Teams to OneDrive, SharePoint, and Intune device management. We handle the technical side so your staff can focus on students, and we work alongside your existing IT team or act as your Microsoft admin team if you do not have one. QNS has worked exclusively with school districts since 1997 and supports more than 200 districts.

Microsoft 365 gives districts a lot of capability, and a lot of settings to get right. Many districts are running tenants that were set up quickly years ago, with licensing that no longer matches how staff and students work and storage that is now pooled and capped across the whole district. Getting it organized pays off in fewer help desk tickets, safer student data, and a platform staff can rely on.

Why QNS is the Trusted Choice for Microsoft 365 for Education

K-12 Microsoft Expertise

We work only with schools, so A1, A3, and A5 licensing, Teams for classrooms, and student accounts are our everyday work.

Built to Work With Your Team

Your staff keep ownership of daily IT. We add the Microsoft 365 admin depth and project capacity a small team cannot staff on its own.

Security and Privacy Built In

Conditional access, MFA, and data protection configured with FERPA, COPPA, and state student privacy laws in mind.

Support That Includes Teachers

Practical training and rollout help, so the tools actually get used in classrooms.

What We Typically Find in District Microsoft 365 Environments

Most districts do not have one big problem in Microsoft 365. They have a set of small ones that built up as the tenant grew. The pattern matters more than any single finding: licensing, security, and storage decisions made years ago are still shaping what the district pays and what it is exposed to today.

Mismatched Licensing

Staff and students on A1, A3, or A5 licenses that do not match what they actually use.

Storage Approaching Limits

Pooled tenant storage filling up with inactive accounts, old mailboxes, and unmanaged OneDrive files.

Open Teams and SharePoint Access

Teams, sites, and files shared more widely than anyone intended.

Legacy Sign-In Methods

Older authentication still enabled and staff accounts without multifactor authentication.

Unmanaged Devices

Staff and student devices accessing district data without Intune or policy controls.

What Microsoft 365 for Education Support Includes

Our support covers the full life of your Microsoft environment. Four areas that work together, because a well-built tenant still drifts without ongoing management, and strong security still fails if staff do not know how to use it.

Setup and Migration

New tenant setup or a cleanup of an existing one, including domains, licensing, and account provisioning from your student information system. For districts moving from another platform or an on-premises Exchange server, we plan and run the migration of email, files, and calendars around the school calendar so classes are not disrupted.

Ongoing Administration

Day-to-day management of the Microsoft 365 admin center, Exchange Online, Teams, and SharePoint, including user lifecycle at the start and end of each school year and license assignment across A1, A3, and A5. Your team gets a single point of contact for the requests that eat up their week.

Security and Compliance

Multifactor authentication, conditional access, sharing and guest access controls, and data loss prevention where your licensing supports it. Settings are aligned with FERPA, COPPA, and state student privacy requirements so the platform supports your compliance obligations instead of creating new ones.

Training and Adoption

Practical, role-based training for teachers, office staff, and administrators, plus rollout support when you introduce new tools. Training focuses on what staff use every day, from Teams and Outlook to OneDrive sharing, so adoption sticks after the first week.

If Your District Needs Broader IT Coverage

Microsoft 365 support covers the platform your staff and students work in every day. Districts that also need help with the devices, networks, and security around it typically add managed IT services, network infrastructure, or School Shield for 24/7 cybersecurity monitoring alongside it.

We will tell you which of those your district actually needs. Not all of them, and not the largest package we can assemble. For districts without IT staff or a provider in place, our K-12 Security Services and K-12 IT Services cover the full picture.

Common Questions About Microsoft 365 for Education

Does this replace our existing IT team or provider?

No. It is designed to work alongside your current staff, tools, and providers. Districts most often add it because their team handles day-to-day support well but does not have the time to manage the tenant, plan migrations, or keep settings current from year to year.

Can you help us migrate from Google Workspace or an on-premises server?

Yes. We plan migrations around your school calendar, move email, files, and calendars, and set up accounts and licensing before cutover, so staff and students start on the new platform with minimal disruption.

Which Microsoft 365 licenses do we need?

It depends on your security, device management, and storage needs. Many districts use a mix, with A1 for most students and A3 or A5 for staff who need desktop apps and stronger security. We review your usage and recommend the right fit.

Do you also manage Windows devices and iPads?

Yes. We manage staff and student devices through Microsoft Intune as part of the same support, including enrollment, policies, and app deployment.

How long does the free assessment take?

The review is not disruptive to district operations and does not require taking systems offline. The output is a written report you can read, share, and act on at your own pace.

What happens if you find something serious?

We tell you plainly, explain what it means in practical terms, and lay out what fixing it would involve. The assessment is not conditional on buying anything, and the report is yours regardless of what you decide to do next.

Technology is constantly growing and changing. It is very costly and difficult for a small rural school to stay current and provide resources that afford our students the same reliable networks as students in larger districts. Since QNS first expanded into Missouri, they have provided tremendous support for me as a Superintendent, from network support down to recommending the best equipment and installation.  I am thankful for their guidance and knowledge about all things relating to technology.   They truly are a partner in education and I couldn't imagine running a district without them.
